Exporting your invoice as an XML file

Once you have set up entities and updated your template, you are ready to generate XML invoices. This final step ensures your invoice is not only correct on PDF but also compliant in XML format.

1. Checklist before exporting

Before you can generate an XML file, make sure you have completed the following steps:

  • Created at least one entity with complete details.

  • Set a default entity (optional, but recommended).

  • Selected the correct XML format for your entity.

  • Updated your template with entity codes (instead of {{ agency... }}) to match your PDF with your XML.

  • Updated your template with the new calculation toggles (instead of manual formulas).

  • Created an invoice using the correct entity.

2. Exporting the XML

When your invoice is ready:

  1. Open the invoice in ABOSS.

  2. Click View PDF to preview the invoice.

  3. If everything looks correct, click Export as XML.

  4. The XML file will be downloaded in the format linked to the selected entity.

  5. Always lock the invoice after sending out.

3. When Downloading the XML Is Not Possible

If you see the message “Downloading the XML is not possible” it means one or more required settings are missing.

Check the points below to make sure everything is configured correctly.

  • An entity is selected on the invoice.

  • The selected entity has an XML format assigned (Peppol BIS v3, XRechnung, or Factur-X).

  • The invoice template uses the built-in calculation checkboxes (not manual or coded formulas).

4. Verifying the result

Always compare the XML export with the PDF preview to make sure the same data is included in both.
