ABOSS Agency: How to set up your Mail Templates

This article will show you how you can set up Mail Templates for sending the invoices / contracts / guest list / itinerary

This article guides you through setting up mail templates for sending invoices, contracts, guest lists, and itineraries through ABOSS. You can create a default email body text to streamline your communications.

You can set default texts for the following items:

  • Invoice

  • Contract

  • Guest list

  • Itinerary

Creating a Template

  1. Navigate to Office in ABOSS.

  2. Click on Mail Templates.

  3. Use the selection box to choose the template type you want to create. Enter a title for your template and click on Create new template.

  4. The editor screen will open, where you can:

    • Add standard email addresses for the "to", "cc", and "bcc" fields.

    • Set a standard subject for your emails.

    • Input the default text you want in the email body.

  5. After customizing your template, save your changes by clicking on Save template.

Using the Templates

When you send out an invoice, contract, guest list, itinerary, the default template you’ve set will automatically be used. If you prefer a different template for specific emails, simply select it from the dropdown menu at the bottom left of the mail screen.

You can personalize the default text in the email body by adding or removing text, such as inserting a first name or a personalized message.

Important note: dynamic fields (like those used in invoice or contract templates) cannot be added to mail templates.

With templates set, you can now send emails more efficiently without needing to manually fill out the body text each time. Recipients will receive the email complete with your agency’s logo.

Additionally, consider adapting your contract body text for features that allow sending a contract with attached invoices directly from an event.
