Effortlessly Create and Manage Email Templates in ABOSS for Invoices, Availability and Guest Lists

This guide will walk you through the process of setting up message templates in ABOSS for sending invoices, itineraries, and availability requests. By creating default message body text, you can streamline your communications and ensure consistency across your messages.

1. Default Texts for Different Items

You can set default texts for the following items:

  • Invoice

  • Availability

  • Guest Lists

2. Creating a Template

  1. Navigate to Settings in ABOSS: Start by logging into your ABOSS account and navigating to the "Settings" section.

  2. Click on Message Templates: Find and select "Message Templates" to begin creating your template.

  3. Select Template Type: Use the selection box to choose the type of template you want to create. Enter a title for your template and click on "Create new template".

  4. Editor Screen: The editor screen will open, where you can customize your template:

    • Email Addresses: Add standard email addresses for the "To", "CC", and "BCC" fields.

    • Subject Line: Set a standard subject for your emails.

    • Email Body: Input the default text you want in the email body.

  5. Save Template: After customizing your template, click on "Save template" to save your changes.

3. Using the Templates

  • Automatic Use: When you send an invoice, availability request or guest lists, the default template you’ve set default will automatically be used.

  • Selecting Different Templates: If you prefer a different template for specific emails, select it from the dropdown menu at the bottom left of the mail screen.

  • Personalizing Emails: You can personalize the default text by adding or removing content, such as inserting a recipient's first name or a personalized message.

4. Important Note

Dynamic fields, like those used in invoice or contract templates for for example Names, cannot be added to mail templates.

5. Enhancing Efficiency

With templates set up, you can send emails more efficiently without needing to manually fill out the body text each time. Recipients will receive the email complete with your artist's logo.

By following these steps, you can ensure that your email communications through ABOSS are consistent, professional, and time-efficient.
