Create, search, filter, send your invoices with the invoice module. Learn how to use the invoice status to stay on top of your invoices.

ABOSS Invoice Module Guide

The invoice module in ABOSS allows you to efficiently manage, search, filter, and export all your invoices. This guide will help you navigate the features of the invoice module.

1. Overview

The invoice module is where you can search and filter through all your invoices in ABOSS. You can export your current selection to Excel, CSV, or PDF files for an easy overview of your current finances.

2. Invoice Items

Each invoice is represented as an item in the left list. Here, you can see all the basic information such as:

  • Status (Orange indicates sent, green indicates paid)

  • Project

  • Client

  • Date

  • Invoice number

  • Total amount

Partial payments are indicated by a percentage in the orange box for an item.

3. Searching and Filtering Invoices

Search

You can use the search field to search by:

  • Invoice number

  • Client company

  • Client name

Filter

To further filter the selection:

  1. Press the filter button in the search bar.

  2. Filter by date, status, and select to show the total amount or total due amount.

4. Exporting Invoices

You can export your selection using the export button in the top right corner of ABOSS. Export your selection to an Excel or CSV file, or export all your invoices as separate PDFs at once.

5. Ordering Invoices

You can order your invoices by several different values such as:

  • Invoice number

  • Invoice date

  • Event date

  • Project

  • Status

  • Due date

  • Amount

When you select either event date or due date, the date shown in the invoice item will display this date.

6. PLUS/MINUS Sections

Inside the Invoices module, you will find a Plus and a Minus section:

  • Plus-side: Outgoing invoices you send from ABOSS.

  • Minus-side: Incoming invoices you can add and track from your ABOSS environment.

7. Adding and Managing Invoices

Adding an Invoice

Create a new invoice by pressing the blue + icon next to the search bar. This will create a new invoice and show you the invoice. Invoices can also be added from within an event on the invoices tab.

Link the Contact

Use the chain icon next to "No contact linked to this invoice" to link a contact from your contact database to your invoice. When the contact is linked to a company, the company name and address will be used.

Add Your Invoice Number

You can add a manual invoice number to your invoice. Set up your invoice numbering through Office to ensure each invoice gets its own individual invoice number. After setting up your invoice numbering in Office, select the correct numbering when the invoice number field in the invoice is selected.

Add Invoice Posts

Using templates, the invoice can automatically be populated with the Performance and Booking fee. You can always add manual invoice posts to the invoice, each with its own VAT percentage. The invoice module will automatically calculate the total VAT for you.

Due Date

The default due date of your invoice is 14 days. You can change it to a preferred date. Learn more about due dates in this article.

Link Events to Your Invoice

To link events to your invoice:

  1. Press the link icon in the top right of your invoice.

  2. This will open the calendar.

  3. Click on the event you'd like to add to the invoice to link it.

Selecting Your Template

The layout and information on the invoices are based on our invoice template system. Set up multiple templates in the Office module. Select the template you'd like to use for your invoice through the 'Use template' selector.

8. Partial Payments

On the right side of your invoice screen, you will find the Partial Payment button. Click this to begin adding payments.

9. Credit Invoice

To credit your current invoice:

  1. Click the arrow icon located on the top right of your invoice.

  2. This will create a new invoice with the same information as the original, but with negative amounts for all invoice posts.

10. Lock Invoice

When you're done with an invoice and don't want it to update based on changes in your event or deal, you can lock the invoice. This will lock the current PDF and prevent further changes. To lock the invoice, click the lock icon.

11. Delete Invoice

Delete the invoice by clicking on the bin on the right.

12. Update the Invoice Status

At the top of each invoice, you can track its current status:

  • Invoice Ready: Adds a checkmark icon to the invoice in the list, indicating it’s ready to be sent.

  • Sent: When you send the invoice through ABOSS, the status will be updated automatically.

  • Paid: When the invoice has been fully paid, you can mark it as such, turning the invoice status green.

13. Sending the Invoice

You can email the invoice directly from ABOSS:

  1. Click the 'Mail invoice' button next to the email address.

  2. This will open the email screen where you can enter recipients, change the subject, add a body text, and add attachments.

  3. Set a default body text for emails using mail templates.
