Updating Your External Advancing Request

You can update your external advancing request to add, update, or remove fields, invite new contacts or approvers, and add or remove events.

1. Open Your Request

To update your current external advancing request, locate the bell icon in your sidebar.

Click on the title to open the update/approve page of your request.

2. General Request Information

The first section displays both the request title and description, which will appear on the first page for the promoter. From here, you can:

  • Update the title and description.

  • View the external advancing request as seen by the promoter on the external page.

  • Open the report PDF.

  • Send a reminder to all contacts or send the report PDF via email.

3. Events

The Events block lists all current events linked to your external advancing request. Every request must have at least one event linked. To add an event:

  • Click the Add Event button in the top right corner.

  • Select an event from your calendar in the popup window.

Clicking the arrow icon will open the event in a new tab. To remove an event, click the trash icon (this action requires saving the request to confirm).

4. Participants / Approvers

Each event includes both participants and approvers.

  • Participants (External): These are contacts from outside your team, such as the promoter or technical contact at the event location. These contacts will receive an invitation to add information to the requested fields on the external page.

  • Approvers (Internal): These are users within your ABOSS team who can edit the external advancing request and approve or decline incoming information.

You can add participants or approvers by clicking the buttons in the top right corner (this requires saving the request to confirm). To remove a participant or approver, click the trash icon, which will revoke their access to the external page (this action also requires saving to confirm).

5. Add / Remove Files

To manage the files associated with your external advancing request:

  • Add Files: You can add files by uploading them directly into the relevant fields.

  • Remove Files: To remove files, click the trash icon next to the file.

6. Fields

The Fields section shows all open fields requested in your external advancing request, organized by fields that contain information first. You can:

  • Update Title and Description: You can update the title and description of each field. For travel fields, the title will also be used as the title of the travel event created after approval. After updating the title or description, be sure to save the request to confirm the changes.

  • Event Selection: If your request includes multiple events, you can choose whether to apply the field to All Events or specific events. If All Events is selected, the field’s information will apply to all events once approved. Alternatively, selecting specific events will allow you to request information separately for each event.

  • Files: When a participant uploads a file linked to a field, it will appear at the bottom of the field. You can:

    • View the file by clicking the arrow icon.

    • Save the file to the event(s) by clicking the save icon.

7. Saving Changes

After making any updates to your external advancing request—whether adding/removing files, participants, events, or updating fields—you will see a red warning line appear at the top of the screen. This line serves as a reminder that changes have been made but are not yet saved. You can click the Save button on this warning line to confirm your changes.

Additionally, at the bottom of the page, you will find the option to resend the request. This feature allows you to resend the updated request to participants and approvers, ensuring that they are notified of any changes made.
