Streamline Communication with Promoters for Event Details

The External Advancing Request feature in ABOSS allows you to easily request and manage information from your promoters. Follow these steps to create and send out external requests for your events.

1. Create a New Request

To send out and create an External Advancing Request:

  • Click on the alarm bell icon in the top bar.

  • Click the "+" icon to create a new request.

  • A new window will appear, where you can:

    • Add a title for the request.

    • Provide a general description.

    • Add contacts that you want to send the request to.

Note: When working in Artist PRO, you can also create an external request directly from the Advancing Page when managing an event. Look for the option at the top right of the page.

2. Add Participants

In the new window, click on "Add Participant" to choose a contact from your Contact Database. You can add multiple contacts by clicking "Add Recipient" again.

3. Link the Request to Events

To specify which event the request is related to, click "Add Event". A calendar window will pop up, allowing you to select one or more events to link to the request.

4. Attach Files

You can attach relevant files to the request. Click "Add File" to select files from either your ABOSS environment or your computer. Select the file and click "Add".

5. Template Selection

Choose an existing template for your request, or create a new one by filling in the necessary fields and clicking "Save as New Template". This helps you quickly generate future requests with the same fields and information.

If you prefer not to use a template, simply select the fields you want information about, such as:

  • Which stage is your artist playing?

  • Who is the stage manager?

  • What is the navigation address?

  • Don't forget the Travel tab!

Tick the relevant boxes and click "Add Selection" at the bottom of the page.

6. Field Selection

After selecting the fields, you can add comments to each individual field. You can also drag and reorder the fields by clicking on the striped buttons at the beginning of each field.

To add more fields later, hover over the list and click the blue "+" to add new fields. To remove a field, simply click the trashcan icon.

7. Request Travel Information

If you need to request travel details, click on the Travel button under Fields. You can request information about:

  • Flight Info

  • Hotel Info

  • Pickup Info

  • Train Info

  • Boat Info

You can select multiple items within each category by clicking the "+" or "-" icons to adjust the quantity. Once done, click "Add Selection" to add these items to your request.

For easier management, you can link existing travel items from your calendar to your request, such as flight details for a pickup. Click "Link a New Travel Event to This Request" to add the relevant travel information.

8. Save Selection as a Template

You can save your field selections as a template for future use. Click "Save as New Template", give the template a title, and optionally link it to a project. This way, you can reuse the same template for future requests without re-entering all the details.

9. Send Out the Request

When you're ready, click the Send button to send the request to the promoter. Once sent, you’ll see a short summary of the request.

Note: Before sending, make sure the request meets the following requirements:

  • A title has been added.

  • At least one recipient is selected.

  • At least one event.

  • At least one field is included in the request.

10. What Happens Next?

Once the promoter receives your email request, they can open the link and begin filling in the requested information. The requested fields will appear on the left side of the screen for the promoter to complete.

After they’ve saved the information, you’ll be notified in ABOSS via the alarm bell in the top bar. Any linked travel items will also be visible to the promoter, so they can plan logistics accordingly.
