How to add a hospitality / technical rider etc. and use it for outgoing mail from ABOSS

When you are e-mailing contracts, guest lists, etc. from ABOSS, you can easily attach a file from within your ABOSS environment.

There are different sections to store your files; Project, Agency, Event, Deal and Travel.

This article will take you trough their differences, how and where to upload, as well as how to use them within ABOSS. It will also show you how to use files from your computer.

Note: the maximum size per file is 25MB.

Project files

A project file can be any file that's connected to a specific project. For example, the rider or a set list. If you upload your project files, you can use them whenever they need to be attached to a contract, an invoice, a guest list or they can easily be attached to an advancing request.

In Artist PRO you can upload / delete the files under Settings > Files.

In Agency, go to Office > Project Management > Project > Files.

If permissions are set correctly, both Agency and Artist PRO can view and use the files.

You need at least View permissions for the specific project to view the files, if you have Manage or higher, you can also add and/or delete them.

Agency files

Agency files are files that are not linked to specific event or project. This can be your Chambre of Commerce document or the Terms and Conditions of your contracts, for example.

You can upload them if you go to Settings > Agency Information.

You need at least View permissions on Agency Events to view the files. If you have Manage or higher, you can also add and/or delete them.

Event files

This section can be used for all the files linked to your Event, such as call sheets, riders, parking, anything! If you upload your files here, they will be shown inside the event - in the webbrowsers and the app. They will also appear as Project file in Project Management, depending on what Project the Event is linked to.

For email purposes you can also use the files as an attachment for your contracts and invoices, linked to the same Event.

When you are working within an Event, you can upload and use the Event files. They remain connected to the Event.

This can be done very easy by dragging the file in the window, or by uploading the file from your computer.

Deal files

When you are inside an event and go the Deal tab, you will find Deal files at the bottom of the page.

You can store files that are connected to the specific deal here. They are not visible for users who have only View permissions on Events, you need at least View permissions on Deal.

It can be a great place to store files that include financial info, deal statements, etc., cause if the user doesn't have permissions to this tab, you will not be able to see and use the files. Deal files can only be uploaded and shown inside the Deal tab. They are not available when you want to use them for contracts, advancing, etc.

Travel files

If you've created a travel item, you can upload travel files. These may be boarding passes, travel itineraries, or check-in info for hotels. You name it!

These files are only linked to the specific travel items, and your Artist / Crew can view them in the ABOSS environment when needed.

Sending files with your outgoing mail/ advancing request

So besides the Deal files, you can use the files you've uploaded as an attachment to your contracts, invoices, advancing requests and guest list.

When you are about to send a contract, invoice or guest list, you will be send to the mail screen. From there you can upload the files you've already added in your Agency or Project environment.

From there you can also upload a file straight from your computer, by clicking on "Upload from your from your computer".

When you want to add a file to an advancing request, you can click on the "Add file"-button, see below. You will also have the option to choose between Agency/Project files, or to upload from your computer.
