Sending Files with Your Outgoing Emails and Advancing Requests
1. Project Files
Project files are documents tied to a specific project, such as a rider or setlist. Once uploaded, these files can be attached to contracts, invoices, guest lists, or advancing requests as needed.
In ABOSS Agency, you can upload or delete project files by navigating to:
Office > Project Management > Project > Files.
Permissions required:
You need View permissions to access the files of a specific project.
Manage or higher permissions allow you to add and delete files.
2. Agency Files
Agency files are not linked to a specific event or project. These can be documents like your Chamber of Commerce registration or contract terms and conditions.
You can upload Agency files by going to:
Office > Agency Files.
Permissions required:
You need View permissions for Agency Events to access these files.
Manage or higher permissions allow you to add and delete them.
3. Event Files
Event files are documents associated with a specific event, such as call sheets, riders, or parking info. Once uploaded, these files will be accessible within the event, both on the web and in the app. They also appear as Project files in Project Management if linked to a specific project.
To upload event files, drag the file into the event window or upload it from your computer.
Permissions required:
Files will be available when emailing contracts or invoices linked to the event.
4. Deal Files
Deal files can be stored within the Deal tab of an event. These files often contain financial information or deal statements. They are not accessible to users with only View permissions on events. To access deal files, users need at least View permissions on Deals.
Deal files are not available for contracts, advancing, or other types of outgoing communication.
5. Travel Files
If you've created a travel item, you can upload files such as boarding passes, itineraries, or hotel check-in info. These files are linked specifically to the travel item, allowing your Artist or Crew to view them in ABOSS when needed.
6. Sending Files with Your Outgoing Emails and Advancing Requests
With the exception of Deal files, you can attach files you've uploaded in ABOSS to contracts, invoices, advancing requests, and guest lists.
When sending an email (for a contract, invoice, or guest list), you will be directed to a mail screen where you can select files from your Agency or Project environment. You can also upload a file directly from your computer by clicking Upload from your computer.
To add a file to an advancing request, click on the Add file button. You’ll then have the option to choose between Agency/Project files or upload from your computer.
