Guidelines to export your data from ABOSS

This articles contains guidelines to export your data from ABOSS, containing;

  1. Events

  2. Contacts

  3. Invoices

  4. Locations

Note: make sure you have set all the permissions for both Agency and all the Projects. They should be on view or higher.

1. Events

To export all your events, follow these steps:

  • Go to Dashboard.

  • Check if your view is on All Projects, in the top left.

  • Select your dates, starting with the year before you had bookings - just to be sure to catch all dates. The enddate should be after your last planned booking.

  • Mark all the statuses, to make sure you don't miss any event.

  • Check if the search filter does not contain any filters.

  • Turn all the projects on in the project selector.

  • Select all the columns.

  • Export your data via the Export-icon in the upper right corner. Click on the icon and choose Excel to download.

If clicking the Download button does not result in a download, your popups may be blocked by the browser. Click here to read how to allow the popups.

2. Contacts

Go to Contacts in the menu on the left.

You can export your contacts to an Excel or a CSV file. Do make sure to have no filters activated. This article will tell you all about (de-)selecting your contacts.

Clicking the three dots next to the search will give you two options.

  • Create New Contact

  • Export Current Selection

Click on 'Export Current Selection'.

Note: We have limited the number of contacts per file. So if your selection is too big you could see multiple files listed. You can download the files one by one.

Click on each file number to download the files to your computer.

3. Invoices

Before exporting, make sure that your view is on All Projects. You can go to All Projects in the top left of your ABOSS.

Then, go to the Invoice module in the menu on the left.

For exporting invoices, we have three options available;

  • Excel, this will generate a XLS overview of the invoices, including details and amounts

  • CSV, same output as XLS, but as text and ';' separated

  • PDF, export all invoices as individual PDF's in a ZIP file

Also; make sure your filters are set correct. Click on the filter-icon to open the settings.

The filter pop-out consist of a few parts.

  • Project selection should be on All projects.

  • The start date should be before you started ABOSS. The end date after your last send invoice.

  • Your filters should be on 'Debit & Credit'. And make sure the statuses are all off - grey, like in the example below:

To export, click the export button in the top right corner of ABOSS and select your format.

The Excel file or CSV files will be downloaded to your computer straight away.

Note: if the export isn't working in your browser, your popups may be blocked. Here you can read how to allow the popups in your browser.

4. Locations

Go to the Locations module on the left.

  • Make sure your filters are off. Click on the blue round with the three dots to open the filters. Hover over the text field to make the bin-icon appear. Click on the icon to remove the filter.

  • Export your locations: click on the three dots next to the search bar.

Then, click on "Export selection..."

An Excell-download with the name list.xlsx (or with (1), or (2), if you did more) will start and your file can be opened with Excel.
