How to Search and Export Contacts

The contact module allows you to efficiently manage and search your contact database. Here's a step-by-step guide to help you search for specific contacts and export your contact selections.

1. Search Your Contacts

To find specific contacts within your database, you can use both general and advanced search options. This ensures that you can quickly locate the contacts you need based on various criteria.

  1. Perform a General Search:

    • Navigate to the contact module.

    • In the search field, enter a name, email address, or telephone number.

    • Press Enter or click the search icon. The matching results will appear in the contact list below.

  2. Advanced Search:

    If you need to narrow down your selection further, use the 'Advanced Search' option.

    • Click on the filter icon to access advanced search options.

    • You can target specific contact fields (e.g., city, country, email) and combine multiple search filters for precise results.

    • Click on '+ Add a search term' to add new search criteria. Available options include searching contacts where:

      • Function is 'Promoter'

      • Country is 'Germany'

      • Contact Label is 'Festival'

    • Click 'Search Contacts' to display results. Active search parameters will be visible in the search menu.

  3. Search Even Further:

    • For more detailed searches, use the 'Search through a relation' button in the advanced search menu.

    • This allows you to search for contacts through one or multiple relations. For example, if you want to book a tour in Asia and target specific clients:

      • Contact function is 'promoter'

      • Event Region is 'Asia'

      • Event type is 'festival'

      • The Gross fee of the event is a minimum of '5000'

    • Click on the 'Search Contacts' button to view your results. You can combine as many searches as needed.

  4. Clear a Search:

    • To clear a search, click on the filter button or on one of the selected fields. You can delete a criterion from the advanced search screen.

2. Export Your Selection

Once you have found the contacts you need, you can export them for further use. This feature is useful for creating lists, reports, or sharing contact information with others.

  1. Export to Excel or CSV:

    • Clicking the three dots next to the search field will give you the option to 'Export Current Selection'. Click 'Export Current Selection'.

    • Choose whether to export your selected contacts to an Excel or CSV file.

    Note: The number of contacts per file is limited. If your selection is too large, multiple files will be created. Download each file individually by clicking on the file numbers.

3. Permissions

  • Export Option Availability: Only users with 'View' permissions on 'Office' can export contacts.

By following these steps, you can efficiently manage your contacts, ensuring you have the right information and can perform targeted searches and exports as needed.
