Maximizing Your Calendar Module: A Comprehensive Guide

The calendar module in ABOSS is a powerful tool designed to keep your schedule organized and accessible. Whether you're managing events, travel arrangements, or personal blocks, this module allows you to view everything in a monthly layout with easy filtering options. You can also synchronize your calendar with iCal or Google Calendar for seamless integration across all your devices. This guide will walk you through the various features of the calendar module, helping you make the most of its capabilities.

1. Understanding Calendar Items

Your ABOSS calendar can be populated with three primary types of items: events, travel items, and block items. Each serves a different purpose and is color-coded for easy identification.

Events
Events are the core of your calendar, representing gigs, meetings, or any other scheduled activities. These items are color-coded based on their current status, making it easy to distinguish between different stages of planning.

Travel Items
Travel items help you manage all travel-related details such as flights, hotel stays, and car rentals. These items are marked in burgundy and include icons to indicate the type of travel.

Block Items
Block items indicate periods when an artist or crew member is unavailable, such as for holidays or personal reasons. These items are displayed in bright red.

2. Color Coding for Events

The color of each event in your calendar corresponds to its status, providing a quick visual cue for where each event stands.

  • Blue: Events in Interest
    These events are in the preliminary stages and are still being considered. If you have Artist/Crew linked, they are not able to view Interest-events.

  • Orange: Events in Option
    These events are tentatively scheduled but not yet confirmed.

  • Green: Confirmed Events
    These events are confirmed and should be treated as finalized bookings.

3. Adding Items to the Calendar

Adding items like events, blocks, notes, or travel items to your ABOSS calendar is simple and efficient. To add an item:

  • Click on the desired date in the calendar.

  • A pop-up window will appear, allowing you to select in the black menu on the left the type of item you want to add (e.g., Event, Block, Travel Item, or Note).

  • After selecting the item type, enter the necessary details, such as the name, time, location, and any additional relevant information.

  • Once you’ve completed the details, save the item, and it will appear in your calendar, color-coded according to its type and status.

4. Shared Events and Travels

When collaborating with other agencies or artists, you can view shared events and travel plans directly in your calendar. Shared items are marked with a sharing icon on the right side, ensuring you stay informed about joint activities.

Look for the sharing icon next to events and travel items to quickly identify those shared by other parties.

5. Using the Legend for Filtering

To customize your calendar view, use the legend to filter items by type or by artist.


Click the 'Manage' button at the top of the calendar to access the legend. This feature is available when viewing the calendar from the 'All Projects' selection. Select and deselect projects or calendar display's to view specific items.

Select specific projects or artists to display in your calendar, or choose 'All Projects' to view everything.

When adding an item to the calendar from the All Projects view, this will only be visible for you personal (Personal Note) or the agency users (Agency Item).

6. Syncing Your Calendar

Syncing with Personal Calendars
You can sync your ABOSS calendar with personal calendars like Google Calendar or iCal. This allows all your ABOSS events to automatically appear in your personal calendar, ensuring updates are reflected across all your devices. You can find the ICS feed button in the top left of your calendar to set up this sync.

Please note that this is a one-way sync: while ABOSS events will appear in your personal calendar, changes made in your personal calendar will not sync back to ABOSS.

Syncing with Public Platforms
You can also sync public events from your ABOSS calendar to platforms Facebook and Bandsintown. The events can display ticket links, event websites, and weblinks to the location of the event, ensuring that all relevant information is accessible to your audience. Most importantly, all upcoming shows will be visible to your audience, enhancing event promotion and visibility.

Important note: Bandsintown will sync with ABOSS twice a day, so events might not be visible immediately.
