Managing Contracts in ABOSS

The contract module in ABOSS enables you to search and filter through all contracts with ease. Each contract is represented as an individual item where you can view details such as status, project, client, date, and contract number.

1. Contract Items

Each contract is represented as an item in the left list. This list shows essential details, including the contract status (grey for created, blue for ready, orange for send, red for retour, green for confirmed), project name, client, date, and contract number.

2. Creating a New Contract

To create a new contract, click the '+' icon or start from an event.

3. Search & Filter Contracts

Use the search field to locate contracts by contract number, client company, or client email. To refine the selection further, press the filter button in the search bar. You can filter by date or show contracts with specific statuses: Ready, Sent, Retour, or Confirmed.

4. Ordering Contracts

Organize your contracts by criteria like contract date, contract number, status, or event date. To reverse the order, click the selected value again.

5. Linking a Contact

Use the 'Contact' block to link a contact to your contract. This contact becomes the primary contact on the contract, and if they are linked to a company, the company’s name and address will also appear.

6. Adding a Contract Number

You can add a manual contract number to each contract. Alternatively, set up automatic contract numbering through Office to ensure unique numbers for each contract. Once configured, select the correct numbering format in the contract number field.

7. Selecting Contract Templates

When creating a new contract, ABOSS selects the default contract template by default. If you’ve created custom templates (in Office > Contract Templates), choose your preferred template from the dropdown at the bottom of the contract.

8. Sending Contracts via ABOSS

Send contracts directly through ABOSS with the 'Mail Contract' function. Click 'Mail Contract' in the 'PDF Display' block to open an email window where you can customize the message, recipients, subject, and add attachments. If the linked event includes invoices, you can send them together with the contract by selecting 'Send contract with invoices' from the small arrow next to 'Mail Contract.'
