The Event page of an event shows you the general information about the event.

Event Information in ABOSS

The Event section in ABOSS provides a detailed overview of all relevant information related to your events. Each event is organized into tabs, allowing you to easily access and manage various aspects, such as dates, times, status, locations, and notes. This article will guide you through each tab and how to efficiently manage your event details.

1. Date & Time

Each event in ABOSS must have a start and end date. If the specific time of the event is not yet confirmed, you can use the TBA (To Be Announced) switch to display only the event date without a time. This feature is particularly useful for events that are still being finalized.

2. In The Night Feature

Sometimes events take place after midnight, technically making them occur on the next day. For example, if your artist is scheduled to perform at 12:30 AM at a Friday night festival, the event technically takes place on Saturday. To keep the appearance of the Friday date on contracts and schedules, you can enable the In The Night switch within the event tab or while adding a new booking.

3. Set Duration

The Set Duration option allows you to define how long the event will last, without it being linked to any dates or time. This is particularly useful when planning out schedules, ensuring accurate setup and teardown times, as well as avoiding overlap with other events. You can add any text you want.

4. Event Types

ABOSS allows you to categorize your events using Event Types. This helps in organizing your events and providing clarity on the type of performance or engagement (e.g., Concert, Meet & Greet, Studio Session). Event types can be customized based on your needs to provide easy filtering and reporting.

Clicking the plus icon allows you to create new Event Types directly from the event. To remove or modify an Event Type, navigate to Office > Event Types.

5. Event Status

You can update the status of each event based on its progress. To change the event status, simply hover over the current status and select a new one from the dropdown menu. This feature allows you to track whether the event is in interest, option, confirmed or cancelled.

The colors correspond with the colors displayed in both your Dashboard and Calendar, ensuring consistency across all views.

6. Event Labels

Event Labels help categorize and tag your events for easier organization and filtering. Labels can be customized for different purposes, such as internal tracking, different phases of the event, or department-specific tags.

7. Created by & Responsible Agent

Each event includes information on who created it and which agent is responsible for its management. This helps keep the team accountable and ensures that there is a clear point of contact for each event. The Created by field shows who added the event in ABOSS, while the Responsible Agent field identifies the person in charge. You can add more than one Responsible Agent, using the plus icon. The bin icon removes a user as responsible agent.

Both Created by and Responsible Agents can only be users within your Agency account.

8. Linked Contacts

You can associate Linked Contacts with an event to ensure the client, the promoter, and those responsible for contracts and invoices are connected to the project. These contacts are always pulled from your Contact Database. To add or update Linked Contacts, navigate to the Client Tab within the event.

9. Set Events Public

If you want to display your events on external platforms like Facebook, Bandsintown, or your website. To set an event public, toggle the Public switch.

For your website, you can also set a specific publication date by clicking on Select a date to set it public, ensuring your event is displayed at the right time, and you can add a public note.

10. Notes & Administrate Notes

Add important event-related information using the Notes section. These notes are visible to anyone with access to the event. For more sensitive or restricted information, use the Administrate Notes section, which is only visible to users with manage permissions on the event.

11. Location (Including Region Protection)

Each event can be linked to a specific location from your Location Database, by clicking the chain icon. If the location is new, you can add it directly via the Google Places integration.

To unlink a location, click the unchain icon. To add or update details for a location, click the link icon, which will take you directly to the relevant entry in the Location Database.

Additionally, ABOSS offers a Region Protection feature to prevent conflicts between events scheduled in close proximity. You can set a radius and time frame to protect your events from overlapping.

12. Event Files & Itinerary

Share important files and documents with your team using the Event Files section. Upload materials like parking permits, stage plans, or technical riders, ensuring that crew members have access to the necessary resources.

By default, the itinerary is added as an Event File to provide a clear and organized overview of all crucial event information.
