After sending your request, your alarm bell in the top bar will alert you when a participant adds information. Click on it and select the advancing request you want to work on.
The fields will display all open fields requested in your request, ordered by the fields that contain info first.
For each field you'll see all the information added by the participants of the request. If you'd like to add or edit information you can click on the 'Edit information' button located below the information to edit the information in the field. When you're done you can click on the save button to save the information, this will save the information directly into the request and does not require a separate save of the request.
Approve, Decline or Add to Event
You have 3 options with incoming information:
Approve: When approving a field, the information from that field will be added to all the linked events and the field will be closed. Participants won't be able to edit information anymore and the information will be visible on the Report PDF.
Add to Event: When you'd like to communicate the information to the event, but don't want to approve the field just yet you can choose the 'Add to Event' option. This will add the information to the event to communicate to your artist and crew but won't close the field yet.
Decline: When the information in a field isn't sufficient or complete you can decline the field. When you click on decline it will show a popup where you can leave a short description of what you're currently missing or need changed. This will add a comment with the status Declined to the field to explain to all participants what needs to be updated in order to approve the information.
Mail reminders & report
When you've updated the request but still require more information you can send out a reminder to all participants in the request. To send a reminder click on the 'Send Reminder' button, this will open a popup where you can add a general comment, this will be visible in the email to the participant.
When you've finished the request and want to communicate all the approved fields you can send the Report PDF by email to all participants. To send the report PDF, click on the 'Send Report' button, this will open a popup where you can add a general comment, this will be visible in the email to the participant.
