1. Accessing the Sharing Settings
When you access the Sharing settings, you gain the ability to control what the other party can view, edit, and manage within your project. This allows you to set specific permissions for each connected Artist or Agency, determining their level of access to different elements of your project.
Click on the Office icon in the menu on the left.
Project Management will open by default. Click on the project from the list you want to manage sharing permissions.
Click on the Sharing Tab.
2. Permission Levels
Adjust the Sharing permission settings to control what each Artist and Agency can do. You can specify if they can view, manage, or administrate various items, ensuring that each party has the appropriate level of access.
The following permission levels are available:
None: This item is not being shared (default).
Anonymous View: The event is shared but the information is hidden in the event.
View: The event and information are being shared but can only be viewed.
Manage: The event and information are being shared and the information can be edited but cannot be deleted.
Administrate: The event and information are being shared and the information can be edited and deleted.
3. Sharing Permissions
You can set permissions for the following items:
Events: Share event and travel information like location, times, advancing details.
Deal: Share the deal page.
Contract: Make the contract viewable for the other party. Note: Contract is not available for Artist.
Tickets: Share the ticket sales.
Files: Share the event and project files with the other party.
Important Note: Not all items have settings for all permissions. For example, the deal is only shareable with viewing rights and cannot be changed by another party. The same applies to contracts.
4. Viewing Shared Events from Another Agency/Artist PRO
When another Agency/Artist PRO shares their events with you, follow these steps to view the events in your environment:
Give yourself and your team permissions for the project.
Add the project to your Dashboard via Select All Projects.
Set Shared Events in Dashboard to "On".
5. What to Do After Setting Permissions
Shared events and travel items will be visible in the Calendar. Note that the other party needs to set the permissions from their side first to actively share data. You will recognize a shared item by the 'Sharing' icon viewed on the right. To show the details, click the item. Note that details will be shown based on the set permissions.
6. Sharing Individual Events or Travel Items
You also have the option to share on an event basis or change the sharing settings per event or travel item. Check out the article: 'How to Share Individual Events or Travel Items with Connected Accounts', to learn the ins and outs.
