Agency: Set and change permissions

An overview and explanation of the Project and Agency Permissions

You can invite team members to your ABOSS Agency Account and give each individual team member their own set of permissions. After inviting them you can decide what they can see and do.

This article contains:

Note: if you have an Artist PRO account, you can change permissions in that account.

Set permissions per User

Go to Office and then to Team management.

Project permissions & Agency permissions

You can change both the permissions of one or more Projects, and the Agency.

The Project permissions are always only linked to the Artist in your account. Meaning you can change permissions concerning deals, invoices, contracts, etc. from one Specific project.

The Agency permissions concern everything about the Agency - they will not affect the Project permissions. You can change the permissions for options such as creating locations, adding contacts, etc.

Set Project permissions
You can update the permissions of one Project by linking them via de plus sign:

To unlink your Projects, click on the plus sign again.

You can also set Project permissions via 'selected projects' where you can choose more Projects to change them all at once:

You will see this pop-up:

You can change by clicking on the correct dots. The permissions will change immediately.

Set permissions per Project for multiple Users

If you go into Office to Project management, you will be able to set the permissions of multiple Users per Project.

Click on the name of the Project and go to Users.

Select the Users you want to give or update permissions for.

You will be sent to 'Bulk permissions editing'.

Meanings

Project permissions

Calendar:

  • None: all events are invisible

  • View: the User can view the Events, but can't make changes to dates for example. They can view Event Notes, but not Administrate Notes.

  • Manage: the User can make changes in Dashboard and Calendar. For example:

    • Create Events and change them

    • Make and send Guest lists

    • Create Notes / Travel items

    • Add Ticket sales

    • View and edit Administrate Notes.

  • Administrate: the User can also delete Events / Notes / Travel items

Invoices:

Note: Invoices are part of the Event, and also a separate module.

  • None: Invoices are invisible

  • View: the User can only view the Invoices

  • Manage: the User view, make, change, send the Invoices

  • Administrate: the User can also delete the Invoices

Contracts:

Note: Contracts are part of the Event, and also a separate module.

  • None: Contracts are invisible

  • View: the User can only view the Contract

  • Manage: the User can make, change, send the Contracts

  • Administrate: the User can also delete the Contracts

Deals:

Note: Deals are part of the Event.

  • None: Deals are invisible - the tab inside the Event is not there

  • View: the user can only view the Deals

  • Manage: the user can also make and change the Deals

Set agency permissions

On the bottom of the page you can change the Agency Settings. These Settings involve all Agency Events / Invoices, etc. - that are not linked to a specific project.

Agency Events:

Involve the events from the Agency, that are not linked to specific projects.

  • None: invisible for the user

  • View: the user can only view the Events

  • Manage: the user can also create and change Agency Events. This doesn't involve Contracts and Invoices

  • Administrate: the user can also delete Events.

Invoices:

Involve the Invoices from the Agency, that are not linked to specific projects.

  • None: Invoices are invisible

  • View: the user can only view the Invoices

  • Manage: the user can create, change and send Invoices

  • Administrate: the user can also delete Invoices

Contracts:

Involve the contracts from the Agency, that are not linked to specific projects.

  • None: Contracts are invisible

  • View: the user can only view the Contracts

  • Manage: the user can create, change and send Contracts

  • Administrate: the user an also delete Contracts

Office:

Involve the complete Office module. Where you can add team members, Projects, Agency information, but also templates, labels and the external bookingsform.

  • None: Office is not visible

  • View: the user can see Office, but can't make changes

  • Manage: the user can work from Office, make changes, create team members and project, labels, template and the external bookingsform.

  • Administrate: the user can also delete team members, labels, templates, etc.

Files:

Inside office you find the section 'Files'. Here you can add files that might be useful for the agency; like technical riders, terms and conditions, etc.

  • None: Files are invisible

  • View: the user can view Files, and use them when needed

  • Manage: the user can add Files and make changes in title, labels, etc.

  • Administrate: the user can also delete Files

Settings for Artist / Crew linked to projects

First invite your artist / crew to your project (see info here). This info applies to Artists Free accounts.

From 'Project Management' you can maintain your invited Artist/Crew members. You can remove users from the 'Artist/Crew' tab by clicking the trash can.


You can also select what deal information should be shared with each artist or crew member. Hover over the sharing icon and select the deal info to automatically share these deal points to the user.

Important note: When the Artist Account is a paid account, you can not manage the crew members as an Agency user from the 'Project Management' page. With an ABOSS Artist PRO account, the Artist is responsible for adding and removing Artist and Crew members.
